Consult and analyze your budgets and financial transactions by month or by year, for your entire budget plan. You can even return to the initial transactions posted in the various modules of COBA Finances.

Speedy, flexible closing

Make use of a complete, simple, effective tool for closing fiscal months or years. This functionality allows you, among things, to partially or totally close a month or reopen a month or year with a single click.

Simplified bank reconciliation

Bring together all the monthly data you need to manage your bank reconciliation. A summary table presenting all transactions for the month enables you to easily access deposits, bank transmissions, and cashed and outstanding cheques. You also have the possibility to attach adjusting entries, notes and documents.

Comprehensive accounts receivable management

Manage all your accounts receivable: client and pupil files, invoices, cash receipts and refunds. Simplify the task with the multitude of reports, bulk processing tools, forms and model emails that COBA Finances software provides.

Complete accounts payable management

Manage all your accounts payable: supplier files, orders, requests for payment, invoices and payments. Save time with the multitude of reports, bulk processing tools, forms and model emails that COBA Finances software provides.

Integrated report generator

Create customized reports and share them with other COBA Finances users within your institution. This functionality can generate simple or complex reports, letters, labels, statistics and lists of data.

Single sign-on authentication

Use a single user name and password to access COBA Finances, its web portal and your Microsoft software, given the interoperability between COBA Finances and Microsoft Active Directory.

Procurement

This module has two components:

1. Purchase requisitions

Easily produce a requisition to acquire a good or service from your suppliers. This module enables you to decentralize this operation according to different parameters, including the approval conditions and budget limits granted to each user.

2. Tenders

Easily issue a call for tenders to suppliers to obtain the best price. Among other things, this module allows you to:

issue a form that includes articles from one or more requisitions (e.g., based on product categories) and send it to different suppliers for each tender call;
enter quantities and prices submitted by suppliers;
analyze tenders to determine which is the best;
automatically generate the necessary purchase orders.

Inventory management

Manage and track inventories in your stores. This module, which is fully integrated into COBA Finances’ Accounts payable management functionality, enables you to manage all the account entries related to inventory disposals. It has several components, including:

management of internal and storefront requisitions,
stocktaking,
procurement suggestions.

Capitalizable property management

Track your institution’s inventory of capitalizable property. This module, which is fully integrated into COBA Finances’ Accounts payable management functionality, is parameterizable based on each user’s profile. It has several components including:

stocktaking,
depreciation,
a tool to track operations involving property.

Loans and reservations

Easily manage equipment loans and reservations by your pupils and teachers. This module is linked to the data contained in the Inventory management and Capitalizable property management modules. It works with the COBA Finances web portal, which allows:

pupils and teachers to request reservations,
stock keepers to authorize loans,
all reservations and outstanding loans to be tracked.

Project management

Ensure smooth execution of a multiyear project, with the possibility of defining and tracking the related budget. This module, which is linked to COBA Finances’ Accounts receivable and Accounts payable functionalities, and to the COBA HR and Payroll solution, enables you to:

manage all revenues and expenditures related to the project,
analyze profits and losses in real time,
intervene with the project process.

Capital expenditure requests

Efficiently plan capital expenditures for future years. This decentralized module is parameterizable according to your requirements and the profile of each authorized user. It enables users to submit requests, by department or by service, that are then analyzed and approved. This module is fully integrated with the Budget creation functionality and COBA Finances’ Requisitions module.

Residences

Manage all activities related to student room rentals. With this COBA Finances module, you will be able to:

track the condition of rooms and the furniture in them,
track work to be done in rooms,
track and update leases,
create invoices and receipts in accounts receivable.
