The challenge

During its 20 years of operations, the Centre culturel et sportif has had to face many challenges, including managing the registration of its 3,500 active members (mainly citizens from the Ahuntsic-Cartierville District), and the increasingly important need to create an online presence. This challenge was made more complex because both employees and students at the Collège benefited from status and rates that required special validation. What’s more, different registration periods were accessible for members and non-members. To meet these challenges, COBA integrated gateways that allow members’ information to be compared between the COBA modules Activities, Finance and K-12, as well as incorporating tools for managing the registration periods.

Having developed in a highly competitive environment, these advances have led to increased membership retention by providing a system of registration for activities at once rapid, efficient and straightforward. Member loyalty is central to the Centre’s values, and there are still today 27 members who retain their membership at the Centre culturel et sportif after 20 years.

The transition

Right from its first year of operation, the Centre integrated COBA’s Activities solution to manage participants, registrations and room reservations (including, since 2012, the Salle Marguerite-Bourgeoys), as well as to control building access to the Centre. Prior to implementation of the online Registration Gateway for in-session activities, the Centre used an in-house system that required twice the effort and time for data and payment processing.

With its own special subscription system aimed at a different clientele from its competitors, the Centre culturel et sportif required a unique solution adapted to its needs. To this end, over the years our team was able to develop a version of COBA Activities matching the Centre’s reality.

The second phase of development allowed subscriptions to be made online, with pre-authorized payments by credit card also integrated. This deferred payment system was much in demand from members who had to pay the whole sum in one go or use a system of post-dated cheques. Today, a majority of members have opted for pre-authorized payments for their monthly fees.

The satisfaction

With two major development updates in the last 10 years, COBA has been able to provide major support for the team at the Centre culturel et sportif. A solid relationship has been built up over the years with both parties collaborating successfully so that COBA has provided Customer Service based on excellence and exemplary quality. The COBA team takes its clients’ satisfaction very much to heart and is always ready to listen to their needs. The team works energetically and perseveres to find new solutions that enable the platform to improve year after year in line with the latest technology, and in anticipation of our clients’ needs.

These multiple developments have allowed the Centre to reduce its personnel, as well as the time and effort required during registration periods, thus providing better service to its members. In the past, registering members and payments manually took a number of employees several full days to complete. Now, the work of the Centre has been transformed so that employees can carry out value-added tasks and thus spend more time with customers. Members of the Centre culturel et sportif have enjoyed a plus-value in the quality of services offered, in addition to saving time. In just a few minutes, they can complete their online registration and thus avoid spending some 30 minutes on the phone. The rapidity of the transactions allows the Centre to attain its registration quota for available places, and its funds, more quickly.

About the Centre culturel et sportif

On August 31, 2018, the Centre culturel et sportif Regina Assumpta celebrated 20 years as a central part of the life of Collège Regina Assumpta and the local Montreal community. With its choice of five distinct types of subscriptions (Aqua-gym, Bain libre, Cardio-vélo, Salle Maxiforme and Tendance-action ) and a variety of courses for the whole family, the Centre can meet everyone’s needs.
